This Health and Safety Policy sets out our approach to managing risks associated with cleaning activities and describes the responsibilities and procedures that support safe operations in all locations where we deliver services.

Policy Statement and Objectives

The primary objective of this policy is to prevent accidents, injuries, and work-related ill health arising from our cleaning work. We aim to achieve this by identifying hazards, assessing associated risks, and implementing effective controls. All work will be carried out in accordance with relevant health and safety legislation, industry standards, and good practice for professional cleaning operations.

Waterloo Cleaner will continually review and improve its health and safety performance, ensuring that our procedures keep pace with developments in cleaning methods, equipment, and products. We will communicate this policy to employees and make it available to clients and other interested parties on request.

Management Responsibilities

Management at Waterloo Cleaner has overall responsibility for the implementation and monitoring of this Health and Safety Policy. This includes ensuring that sufficient resources, information, training, and supervision are provided so that work can be carried out safely and effectively.

Managers and supervisors will:

Carry out and regularly review risk assessments for all cleaning tasks and service locations.

Ensure that safe systems of work are developed, implemented, and maintained.

Provide appropriate personal protective equipment and ensure that it is used, stored, and replaced correctly.

Monitor compliance with safety procedures and take prompt action where improvements are required.

Investigate accidents, incidents, and near misses and implement corrective actions to reduce the likelihood of recurrence.

Employee Responsibilities

All employees have a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions or omissions. Employees are expected to cooperate fully with Waterloo Cleaner in implementing this policy and must:

Follow all safety instructions, site rules, and method statements for cleaning tasks.

Use chemicals, tools, and equipment only as trained and authorised.

Wear and maintain personal protective equipment as provided.

Report hazards, defects, accidents, incidents, and near misses to their supervisor without delay.

Refrain from horseplay, misuse of equipment, or any behaviour that could endanger themselves or others.

Risk Assessment and Safe Working Practices

Waterloo Cleaner undertakes risk assessments for all routine and non-routine cleaning tasks, including office cleaning, residential cleaning, end of tenancy cleaning, deep cleans, and specialist work such as high-level or post-construction cleaning.

Risk assessments consider hazards such as slips, trips and falls, manual handling, contact with chemicals, working at height, electrical safety, and lone working. Based on these assessments, safe working procedures are prepared and communicated to staff through training, written instructions, and on-site supervision.

Employees are not permitted to carry out tasks for which a risk assessment has not been completed or for which they have not received adequate training and instruction.

Chemical Safety and COSHH

Many cleaning activities involve the use of chemical products. Waterloo Cleaner selects cleaning agents that are effective while minimising risks to health, safety, and the environment. All hazardous substances used by the company are assessed, and appropriate control measures are adopted.

Safety data and instructions for safe use, storage, and disposal are made available to employees. Staff are trained in the safe handling of chemicals, including correct dilution, application, and the action to take in the event of spills, splashes, or accidental exposure. Chemicals will never be decanted into unlabelled containers and will be stored securely when not in use.

Equipment, Tools, and Maintenance

Waterloo Cleaner provides equipment suitable for the range of services offered, including vacuum cleaners, floor machines, and specialist tools. All equipment must be used only for its intended purpose and in line with manufacturer instructions and company procedures.

Tools and machinery are regularly inspected, serviced, and maintained in a safe condition. Damaged or defective equipment must not be used and must be reported immediately. Portable electrical equipment will be checked at appropriate intervals, and any unsafe item will be removed from service.

Manual Handling and Ergonomics

Many cleaning tasks involve lifting, carrying, pushing, and pulling of loads and equipment. Waterloo Cleaner seeks to minimise manual handling risks by using mechanical aids, planning work to avoid unnecessary lifting, and providing training in safe techniques.

Employees are encouraged to adopt good posture, vary tasks when possible, and take reasonable rest breaks. Supervisors will monitor work practices and assist in adapting methods to reduce strain and fatigue.

Workplace Environment and Site Safety

When operating at client premises, Waterloo Cleaner will cooperate with the client to ensure that cleaning work is organised safely. Access routes, stairs, and work areas are to be kept tidy and as free as possible from slip and trip hazards such as trailing leads, wet floors, and cleaning materials.

Warning signs will be used where necessary, particularly when floors are wet or when work may affect others using the area. Employees will familiarise themselves with site-specific emergency procedures, including fire exits, assembly points, and first aid arrangements.

Training, Supervision, and Communication

Waterloo Cleaner provides induction and ongoing training to all employees covering health and safety responsibilities, safe cleaning methods, equipment use, chemical safety, emergency procedures, and incident reporting. Additional task-specific training is provided for specialist activities.

Supervisors will regularly observe working practices, provide guidance and corrective feedback, and ensure that staff understand and follow safety instructions. Health and safety information will be shared with employees through briefings, toolbox talks, and other appropriate communication channels.

Incident Reporting and Emergency Procedures

All accidents, injuries, near misses, and dangerous occurrences must be reported as soon as possible to the relevant supervisor or manager. Waterloo Cleaner will record and investigate such events to identify root causes and implement preventive measures.

Employees must familiarise themselves with emergency procedures, including what to do in the event of fire, serious injury, chemical spills, or other dangerous situations. Where necessary, work will be stopped if conditions are unsafe and will only resume when appropriate controls are in place.
